Email Marketing
Fund Flow's email tools let you communicate with investors through a single platform — writing individual messages, building reusable templates, sending bulk campaigns to segments, and tracking engagement — all with your Gmail account as the sender.
Prerequisites
- Gmail connected under Settings > Integrations > Gmail.
- At least one contact with a valid email address in your CRM.
Sending an Individual Email
- Open a Contact record.
- Click the Email tab in the contact navigation.
- Click + Compose Email.
- Write your subject and body, or select a saved template.
- Click Send.
The email sends from your connected Gmail account and appears in both the contact's timeline and your Gmail Sent folder.
Email Templates
Templates let you save and reuse well-crafted messages across your entire investor base without rewriting from scratch.
Creating a Template
- Go to Settings > Email Templates.
- Click + New Template.
- Set a Template Name (internal label) and Subject Line.
- Write the body using the rich-text editor.
- Insert personalization tokens where relevant (see Personalization Tokens below).
- Click Save Template.
Using a Template
Templates are available in the Compose Email dialog under the Templates dropdown. Selecting a template populates the subject and body, which you can edit before sending.
Organizing Templates
Tag templates by category (e.g., "Outreach", "Deal Announcements", "Follow-Up") using the Tags field on the template editor. Filter the template list by tag from the sidebar.
Personalization Tokens
Insert dynamic values that resolve to each recipient's actual data when the email is sent.

Tip
Click Preview before sending to verify all tokens resolve correctly. Contacts missing data for a token will receive a blank value — fill in missing fields first.
AI Email Hub
The AI Email Hub generates a complete email draft in seconds using your deal data and the contact's profile.
Styles Available
- StoryBrand — Frames the investor as the hero with a problem (wealth sitting idle, missed returns) and your deal as the solution. Builds trust and relatability, ideal for first-touch and educational outreach.
- Hormozi — Direct, no-filler copy built around the offer's value. "Here's what you get, here's why it's great, here's how to act." Best for deal announcements with a time-sensitive close.
- Professional — Formal, measured tone appropriate for institutional LPs, family offices, and contacts who expect traditional investor communication.
How to Use
- From any contact or deal email tab, click ✨ AI Email Hub.
- Select an Email Type (Outreach, Follow-Up, Deal Announcement, Re-Engagement).
- Select a Style.
- Click Generate Draft.
- Review and edit the output, then click Use This Email.
Each generation consumes one AI token from your monthly allowance. See the AI Features section for token limits by plan.
Bulk Email to Segments
Send a single email to a filtered group of contacts in one action (available on Standard and Professional plans).
Using a Segment
- Navigate to CRM > Segments and open or create the segment you want to email (e.g., "Soft Commits on Deal A" or "Accredited Investors - Multi-Family Interest").
- Click Send Email to Segment.
- Compose or select a template, adjust the subject, and preview with personalization tokens.
- Click Send to [N] Contacts.
Creating a Quick Bulk Send Without a Saved Segment
- Go to CRM > Contacts.
- Use filters (tag, pipeline stage, deal, custom fields) to narrow the list.
- Check the box at the top to Select All Filtered contacts.
- Click Bulk Actions > Send Email.
Bulk emails sent to more than 500 contacts in a single batch may trigger Gmail's daily sending limits. Fund Flow queues messages and sends them at a safe rate automatically, but delivery may take up to 2 hours for large batches.
Email Tracking
Track whether investors opened your emails and clicked any links (available on Standard and Professional plans).
Engagement Statuses

Viewing Tracking Data
- Individual Contact: Open the contact's Email tab to see per-message status.
- Bulk Send: Open the Campaigns tab under CRM > Email to see aggregate open and click rates for any bulk send.
- Deal Emails: Open the Email tab of a deal for a unified view of all emails sent in context of that deal.
Note
Email open tracking relies on a 1x1 pixel image. Contacts who block remote images (common in corporate email clients) will not show as "Opened" even if they read the message. Click tracking is more reliable.
Frequently Asked Questions
Will bulk emails go to spam? Using a connected Gmail account reduces spam risk significantly compared to a shared mailer. Follow standard best practices: avoid spam-trigger words in subject lines, ensure your Gmail account has a good sending history, and never send to contacts who have previously bounced.
Can I schedule emails to send later? Not from the single-compose view. To send at a specific future time, create an Automation with a Date-Based trigger and a Send Email action.
What happens if a contact unsubscribes? Unsubscribed contacts are automatically suppressed from all future bulk sends and automations. You can still send individual emails manually from their contact record.
Can multiple team members share the same email templates? Yes. Templates are shared across all users in your organization. Any team member can use, edit, or delete any template.
